Fonts in Powerpoint

When delivering a presentation or conference talk you often spend hours making it look just right, which often includes changing fonts away from the usual 'Times New Roman' and 'Arial'. But then you load the presentation onto the venue computer and everything changes. Here's how to prevent that by learning to embed your fonts in powerpoint.
Unfortunately for users of Powerpoint who use it on Mac computers embedding fonts isn't supported in 'Office for Mac', we suggest you stick to standard font types or include a copy of the font you use when sending your presentation to a venue.

In Powerpoint 2010/2013

  1. Click the File tab, and then click Options in the left pane.
  2. In the PowerPoint Options dialog box, in the left pane, click Save.
  3. Under Preserve fidelity when sharing this presentation, select the Embed fonts in the file check box.
  4. We recommend also selecting the second option, Embed all characters (best for editing by other people, or if you think you might have to make last minute changes).
  5. Click OK.

In PowerPoint 2007

  1. Click the Office button. (that logo in the top left corner)
  2. Click the PowerPoint Options button.
  3. Select Save in the Options list.
  4. Check the box for Embed Fonts in File and make one of the following choices
    • By default the selection is "Embed only the characters used in the presentation (best for reducing file size)".
    • Second option - "Embed all characters (best for editing by other people, or if you think you might have to make last minute changes)".

In PowerPoint 2003

  1. Choose File > Save As...
  2. From the Tools menu at the top of the Save As dialog box, choose Save Options and check the box to Embed True Type Fonts.
  3. Leave the default option to Embed all characters (best for editing by others) unless you have very little room left on your computer. Embedding fonts into the presentation will increase the file size.

In PowerPoint 2000

  1. Choose File > Save As...
  2. From the Tools menu at the top of the Save As dialog box, choose Embed True Type Fonts
    Note - This option to Embed True Type Fonts will be for the current presentation only. You must select this option each time you save a new presentation.
